How should I plan a hibachi party with vegetarian guests?

What should you collect from guests?

Ask guests to describe their meal requirements in their own words and collect the questions in one place. Vegetarian, vegan, ingredient preferences, and allergies are different requests; do not collapse them into a single note on the guest list.

Pass those requests to the provider and wait for its response before promising a menu to the group. The host’s job is to coordinate the conversation, not to certify the meal.

What should you ask about the complete meal?

Look beyond the main protein choice. Ask about the ingredients and preparation of each part of the planned meal and record the service’s accepted arrangements.

• Which mains, sides, and sauces fit the guest’s stated requirements?
• What preparation or equipment questions does the guest need answered?
• Can the provider accept the requested changes for this booking?
• How will the confirmed meal choices be recorded in the event brief?

How do you keep the final menu clear?

Keep the accepted choices beside the guest count and share only the necessary event information with the service. If a guest changes a request, ask for confirmation again instead of assuming it carries over to a different dish.

For allergies or other individual concerns, arrange a direct provider conversation. This planning guide cannot establish the suitability of food for a particular guest.
