Start with the property, not the party photo

A Miami dinner plan might involve a private yard, a managed property, or a rented venue. Describe the actual setting to the provider. A photo of an attractive pool or terrace does not show equipment access or the rules governing the space.

For any shared or managed area, ask the responsible property contact about visiting caterers, cooking equipment, guest limits, and access times. Do not assume permission for a private meal includes permission to use shared amenities.

Which arrival details should you settle?

Give the provider the address and explain where equipment can be unloaded. Ask the property contact about approved parking and any building procedures. Resolve these before the event rather than leaving the chef to negotiate access on arrival.

Send guests separate arrival instructions so the provider’s setup route remains available. If your meal is part of a wider celebration, appoint one person to handle the property while another welcomes the group.

How should you compare your Miami options?

Request matching proposals that cover the same menu, group size, location, and time. Compare the full amount and who handles the guest table. If one service needs different venue arrangements, include the extra coordination in your decision.

A useful recommendation becomes specific when the provider approves the space and confirms the event. Keep that response alongside any property permission and the quote so the host has a single working plan.
